Setting the Valid Period/Year Posting Range

This procedure can be used to control or restrict the accounting years and or and periods that transactions can be posted to on the system.  The values entered using this procedure are used to restrict the period and year that can be selected during journal entry and other transaction procesing.  Please note: In many cases, programs that affect sub-ledger balances (AR Payment Entry, AP Invoice Entry, etc) will only allow transactions to be posted to the current system period and these programs do not use the information that is updated with this procedure.  Also please note that the current GL posting range should include the current system year and period (to allow posting to it).

1.  Select the Set Accounting Period Program from the GL Maintenance/Utilities Menu.

2.  When the Set Accounting Period program is activated from the menu it will display the current default accounting period and year that have been set on your system in the left half of the program and the current je posting range that has been defined for your system in the right half of the program.  The default number of accounting periods (used when creating account period records) is displayed underneath the current system period and year information.

3.  To set the valid range for journal entries and other transactions, you should enter the beginning year and posting period in the From Year and Per fields and the ending year and posting period in the To Year and Per fields.  You may enter values that span over one year into the fields or you may enter values within a single year into the fields.  For example: 

If the JE Range values were set to

From Year 2003  Per 1

To Year      2004 Per 13

The system would allow posting in any period from 1-13 in year 2003 or 2004.

If the JE Range values were set to

From Year  2004  Per 8

To Year      2004  Per 8

The system would allow posting in only period 8 in the year 2004.

If the JE Range values were set to

From Year  2004  Per 1            

To Year      2004  Per 13

The system would allow posting in any period in the year 2004.

4.  Once the correct period and year range is displayed in the Set Accounting Period program, you may save the change by pressing the Set System JE Range Button.  Once the Button is pressed, the system verifies the new period and year range information.  If the new information is valid, the system saves the change and displays a message to notify the operator that the JER Range has been set.  If the new period and year range information is not valid, the system will force you to enter valid information before allowing you to save the change.
