Main Tab Page

The Main Tab Page in the PO Entry program is used to select the Vendor that you wish to enter the PO for, or the Purchase Order to be loaded into the program for editing. 

The Main Tab Page in the PO Entry program is also used to

•      Display the Purchase Order being entered or edited (the PO NO window will be loaded with a temporary PO number (a number above 90 million) when you enter the first PO line for a new PO, and it will display a “normal” PO number when an existing PO is loaded into the program for editing.  The PO Number will be blank if you are entering a new PO and have not yet saved any lines for the order.

•      Specify/Display the PO document type.  The Type window is used to specify the PO document type when a new purchase order is being entered and to display the PO document type when an existing PO is being edited.  The prompt button located next to the Type window can be used to select the PO Type for the current order from a list of valid PO types when a new PO is being entered.

•      Display the status of the current PO.

•      Specify/Display the Location being used for the Purchase Order.   The Purchase Order Location will default based on the location assigned to the operator entering the PO, or from the PO Requisitions used to create the PO (if the PO was created using the Requisition Management program). 

•      Specify/Display the Buyer for the PO.  If you are manually entering a new Purchase Order, the Buyer for the PO will default based on the Vendor selected for the PO.  This Buyer can be accepted or changed as required.  The Buyer specified in the PO Header is used as the Buyer for the line items that you enter for the PO.  If you are creating a Purchase Order from a PO Requisition, the system will default the Buyer in each requisition line based on the Buyer logic described in the overview section of this document, and the Buyer in the PO Header will default based on the Vendor being used for requisition.

•      Set the default dates to be used for the line items on the PO.  The date fields located on the right side of the PO Entry program are used to default the dates for each purchase order line entered for the PO being processed.  The PO date defaults to the current date.  The Required Date (the date you require the goods from the vendor) and the Cancel Date (the date on which the vendor should cancel the PO if it has not already been completed), default based on the current date and the system parameters F248: POREQDAY and F248: POCANDAY (these parameters store the number of days to be added to the current date to determine the Required or Cancel date for the PO).  The Required and Cancel date values in the header are set when you select the Vendor for the PO and these dates can be modified as required once you have selected the vendor.  The Required and Cancel dates for each line default based on the header values in the PO but they can be changed as required for each PO line.  The Promised Date (the estimated shipment date from the vendor, and the shipped date (the actual date the items were shipped by the vendor

•      Specify the internal and external reference information for the PO.  The RefNo field allows you to store an internal reference number for the PO.  The PO Lookup programs allow you to search for and locate a PO using this Reference Number.   The Contract Number can be used to specify the contract number that the PO is associated with.   The Placed With field can be used to store the name of the vendor contact that the PO was placed with at the Vendor Company.  The Placed With field will default to the Vendor Contact who is identified as the Purchasing Contact for the vendor (the contact with Y loaded into the Purchasing flag).  The Vendor Order Number can be used to store the order number issued at the vendor site for your purchase order.

Shipping Charge:  The amount of shipping for the purchase order.  The shipping amount in the purchase order must be manually specified and this shipping amount is printed on the purchase order.
