Processing a Loaner Order

As each loaner order is saved, the system performs the following steps automatically.

      The system checks the fulfillment method on the order, the schedule date in each order line, and the available quantities of each item being ordered to determine if inventory should be allocated to the order.  The system then reserves and allocates inventory (or does not) based on this information.

      The system places any required holds on the order based on the Hold codes that are being used in the system, and the current information for the customer, terms, rep, and other information being used in the order.  The system will not allow an order to be completed until all holds for the order have been released.  The system will also block you from performing some order related tasks (such as placing a PO for a vendor shipment or special order line) while there are open holds present for the order.

      The system creates or updates any required PO Requisition Lines for the Order.  If the Order being processed contains vendor shipment, special order, or broker item lines, the system automatically creates or updates any PO requisition lines for the loaner order lines.

As soon as the system is done saving the current order, the Sales Order Lookups will display the current allocation status for each order line, and any open and or closed holds that exist for the order.  The Sales Order Management Program will display all order types (Q, S and L), but Loaner Orders are not displayed in the Customer Order Lookup.  You should use the Customer Loaner Lookup program to display the open or closed Loaner history for each customer.

The next steps in the Loaner Processing cycle (if required) are

      Manually Allocating any required quantities.  This optional step would only be required if the order being processed was for an item that is manually allocated, or for an item that has safety stock (and again needs to be manually allocated).

      Releasing any holds for the order.  A Loaner Order can be placed on hold for multiple different reasons, some accounting or finance related (i.e. terms, credit limit, order value) and some that are sales related (rep, item, product line, margin holds).  The StreamV System automatically routes order holds to the person that is responsible for releasing each hold.  The holds are then cleared individually or at once – depending on the situation.  Note:  If a loaner order is on hold and it is not likely to be released,  you may want to cancel the order, so that it does not reserve available inventory.

      Placing Purchase Orders for any Vendor Shipment, Special Order, or Broker Items that are included on the order.  If the order contains lines that will be shipped directly to the customer by the vendor, or special order items, one or more purchase orders must be placed with the vendors so that the order can be fulfilled.  The system automatically creates po requisitions for each vendor shipment, broker or special order item being ordered, and these requisitions can be quickly converted to purchase orders.  PO Requisitions cannot be placed until any holds for the order have been cleared.
