Creating PO Requisitions using the PO Recommendations Report and the Requisition Management Screen. 

Note: This section provides only a brief description of the PO Recommendations report and the PO Requisition Management program.  For more information about these programs you should refer to the Purchasing Manual.

Check that there are no Requisition lines showing in the Purchase Order Requisition Management screen.

Run a PO Recommendations report for one of the inventory locations needing product, select "Y" to Select only Items with Needed Qty > 0 or below reorder point, and select "Y" to Create Purchase Requisitions for recommended Qty and default vendor.  The PO Recommendations report will analyze the inventory information in the selected location and create PO requisition lines for the items and quantities it recommends.

Select the PO Requisition Management program from the menu and review the requisition lines created in the previous step.  If necessary, you may edit the quantities and promised dates on the requisition lines.  You may also delete requisition lines for items you do not wish to transfer.

Tag the items to be transferred in from one of the source locations.  If the item is not available in the source location it will be backordered by the system in the source location when the IFT sales order is created in that location.  You may tag requisitions by moving the light bar over the record and pressing the SPACEBAR. 

Assign the tagged requisition lines to the appropriate IFT Vendor record.  Once you have tagged all of the lines to be transferred in from one of the source locations, press the CTRL + V keys to assign the appropriate IFT vendor to the PO requisitions.  When the CTRL + V keys are pressed, the system displays the Vendor Selector program.  The Vendor Selector program displays the vendors which have been set up in the Vendor file.  The program also allows you to display and search for Vendor records using any of the several different display sequences which are available in the program.  When the Vendor Selector program is displayed you should locate and highlight the correct IFT vendor (the vendor record set up for the source location) and press the ENTER key to select the vendor.  The system will then assign each of the tagged requisition lines to this vendor.

Create the IFT PO.  Once the requisition lines have the appropriate vendor assigned to them, you may press the CTRL + P keys to create a PO for the selected requisitions.  As you press the CTRL + P keys, the system will display the Ship To Address Selector program which will display the IFT Ship To addresses which have been set up on the system. 

Select the IFT Ship To record to be used on the PO.  Once the Ship To Address Selector program is displayed you should select the Ship To address which has been set up for the destination location by highlighting the appropriate record and by pressing the ENTER key (the Ship To record should contain the address to which the merchandise is to be transferred).  Once you have selected the correct IFT Ship to address the system will create the purchase order and give you the opportunity to edit the newly created PO by pressing the "P" key. 

Edit the PO if necessary.  If you wish to view or edit the PO created by the system, you may do so by pressing the "P" key at this point.  When the "P" key is pressed, the system executes the Purchase Order Entry program and it loads the program with the PO which was created from the Requisition.  You may then make any required changes to the PO and save the PO by pressing the SAVE key.  If you do not press the "P" key then the PO will be saved immediately.  If you do press the "P" key, the system will not save the PO until you have made the changes and exited the Purchase Order Entry program.  Note: IFT purchase orders should not be edited after they have been saved the first time because the system will create a sales order for the PO each time it is saved.  If you do need to edit an IFT PO after it has been saved, you MUST follow the editing procedures listed later in this document to avoid duplicating the transfer.
