Editing an IFT PO

Note:  An IFT Sales Order is created each time an IFT PO is saved.  You should not edit an IFT PO after it has been saved unless it is absolutely necessary.  If you do need to edit an IFT PO you should follow these procedures to ensure that you prevent duplicate shipments out of the source location.

Use the PO Lookup program to view the IFT purchase order and to determine the sales order number of the sales order that was created when the PO was saved.  You can determine the sales order number by viewing the line items of the PO.  IFT PO's will have the IFT sales order number saved in each PO line item.  You can view the sales order number by Finding the appropriate PO in the PO Lookup program and by pressing the ENTER key to display the Line Item window.  Once the PO line items are displayed, you can press the ENTER key again to display the Line Item Detail window.  The sales order number is displayed in the So No field of the Line Item Detail window.  Note:  If an IFT PO is edited and saved, the system will create a new sales order for the PO and the sales order number stored in the PO line will be updated with the last sales order created from the PO.

Check the status of the IFT sales order in the shipping location.  Determine whether the order has been printed and/or partially or completely shipped.  You may check whether or not an IFT sales order has been printed by using the Sales Order Inquiry program to locate and view the sales order.  Once you have located the order you may determine whether it has been printed by using the EXPAND key to display the header information for the sales order.  If the sales order has been printed, the date and time that the order was last printed will be displayed in the Printed field.  If the sales order has been partially or completely invoiced, the last invoice number associated with the order will be displayed in the Last Inv# field in the header detail window.

If the PO has not been printed or partially or completely shipped, you may edit the PO as follows.

Delete, Void or Cancel the IFT sales order which was created by the system when the IFT PO was saved.  You may do this using the Edit Order feature in the Sales Order Inquiry program.

Edit the purchase order using the Purchase Order Entry program and save the changes by pressing the SAVE key.  As the PO is saved the system will create a new sales order for the PO in the source location.

If the IFT Sales Order has been printed but has not been partially or completely shipped, you may edit the PO as follows.

Retrieve the pick list for the IFT Sales Order from the source location and reset the pick list using the Reset Printed Order program.

Delete, Void, or Cancel the IFT Sales Order using the Edit Order feature in the Sales Order Inquiry program.     

Edit the purchase order using the Purchase Order Entry program and save the changes by pressing the SAVE key.  As the PO is saved the system will create a new sales order for the PO in the source location.

If the IFT Sales Order has been printed and partially or completely shipped, you should not edit the purchase order at all as it will create a duplicate sales order for the entire PO in the source location.  If a change is absolutely necessary, you may do the following.

Delete, void, or cancel the remaining open and backordered items on the sales order and then enter a new PO for just the items which have not already been processed in the source location.

Use the PO Lookup program to edit the comments on the purchase order or to update the promised date for the items on the PO.

Use the Edit Order feature in the Sales Order Inquiry program to make changes to the remaining open sales order lines.  Note:  You should not edit the original IFT PO if the IFT sales order has been partially or completely shipped as a new sales order will be created for all of the items from the PO.
